Available now! – CBT California is excited to announce an opening for a full-time intake coordinator position based out of our Newport Beach office. CBT California is an evidence-based psychotherapy private practice institute in Southern California and is a nationally-recognized leader in providing science-based interventions such as dialectical behavior therapy (DBT).

The full-time intake coordinator will be responsible for coordinating and performing a variety of administrative tasks for our clinical, research, and training staff.

The primary focus of the intake coordinator is to provide prompt and courteous service to current and prospective patients.

As the intake coordinator is the first point of contact for our patients, it is critical that candidates for this position are highly-organized, articulate, and have experience providing service to discerning clientele.

The intake coordinator will have the following clinical duties:
Answering phones and emails, providing information about our treatment approaches (CBT, DBT, etc.), and company policies
Providing relevant information about our treatment providers
Scheduling patients for intake appointments, including sending and receiving intake paperwork and providing directions to our clinics to new patients

The intake coordinator will also have administrative duties:
Managing provider’s calendars and assisting with onboarding and offboarding process
Assisting with billing activities Maintaining the electronic health record
Attending various weekly team meetings, which includes preparing needed materials and taking meeting minutes
Maintaining electronic files for administrative, training, research, and clinical needs
Cleaning and organizing the clinic offices and waiting rooms

The intake coordinator will also have research duties including but not limited to:
Coordinate the collection of outcome measures
Track and follow up on missing data
Assist with IRB submissions
Prepare and present data at conferences
Provide admin assistance to DBT Bulletin
Conduct lit reviews at staff request
The full-time intake coordinator must be proficient in MS Office and would ideally have knowledge of Trello, Google Drive & Voice, DropBox, PsychSurveys, and WordPress (or other website maintenance programs), or a willingness to learn.
Knowledge of HIPAA policies, experience working with private health information, experience in medical billing, and comfort with managing social media platforms (Facebook, Twitter, Instagram) are also a plus, though not required.

This position will be primarily located in our Newport Beach office and the intake coordinator will be required to commute at least one time a week to Long Beach or Torrance to participate in our weekly DBT Team meetings. *Due to COVID-19, this position will be remote until further notice or unless instructed otherwise.

This position requires excellent communication skills as this intake coordinator will be responsible for coordinating intake procedures with administrative staff across our three clinics located in Beverly Hills, Torrance, and Newport Beach.

This position is ideal for a candidate who is interested in pursuing graduate school in clinical psychology, though others will be considered. The position would come with an opportunity to be part of the research team at CBT California, attend weekly research meetings, attend and present at professional conferences, participate in adherent DBT consultation team meetings, and have opportunities to participate in professional training for highly specialized treatments (i.e. DBT, CBT, CBASP, ACT).

We prefer someone with an interest and some education in psychology and someone who is mature, responsible, compassionate, organized, timely, and is able to multitask.
